Note: setup

Let's be real: you've probably seen it a hundred times. A bag of coffee with a fancy label, a 'best by' date that's nine months out, and no roast date in sight. If you're buying wholesale for a shop or café, that's a red flag you can't afford to ignore.

Here's the thing—coffee is a perishable product. Unlike wine, it doesn't get better with age. The roast date is the only reliable way to know what you're actually getting. When I'm helping buyers source, the first question I ask is always, "What's the roast date?" If the answer is "um, it's on the bag somewhere," that's already a bad sign.

Note: daily friction

You'd think roast dates would be standard by now, but they're not. I've seen wholesale orders show up with beans roasted six weeks ago—or worse, with no date at all. That's a problem because the window for peak flavor is narrow.

Specialty coffee is at its best within two to four weeks of roasting. After that, the volatile compounds that give coffee its complexity start to fade. You might not taste it in a milk-heavy latte, but in a pour-over or drip, the difference is obvious. Stale coffee tastes flat, dusty, and sometimes a little sour.

So what do you do? Start by asking your supplier for the exact roast date on every batch. A reputable roaster will have this info at their fingertips. If they hesitate, that tells you everything you need to know.

Also, check the packaging. Good roasters put the roast date on the bag, not just a best-by date. Some even include a batch number so you can trace back to the roast day. That's the level of transparency you want.

Note: what surprised us

When we started digging into this, one thing caught us off guard: how many wholesale buyers don't check roast dates at all. They assume that if the bag says 'specialty,' it's fresh. That's a dangerous assumption.

Another surprise? Some roasters use a 'roasted on' date but only for their retail line—wholesale gets the leftover stock. That's a pattern we've seen more than once. It's not malicious, but it means you need to be proactive.

What also surprised us is that freshness isn't just about flavor. It's about your reputation. If your customers buy a bag of "fresh" coffee and it's stale, they won't blame the roaster—they'll blame you. That's a trust killer.

Note: what we would change

If we could wave a magic wand, every wholesale order would include a roast date printed on the invoice and on each bag. But until that happens, here's what we'd recommend:

• Always request the roast date in writing, before you place the order.
• Set a policy: if the roast date is older than three weeks at delivery, you have the right to reject it.
• Build relationships with roasters who are transparent. They're out there.
• Train your staff to check dates on arrival and flag anything suspicious.

These aren't huge asks. They're just good buying habits. And honestly, the more you demand transparency, the more the market will respond.

Field verdict

Freshness isn't a luxury in specialty coffee—it's the baseline. As a wholesale buyer, you're the gatekeeper. If you don't ask for roast dates, you're setting your shop up for mediocre coffee and unhappy customers.

The good news: it's easy to fix. Start asking for roast dates today. You'll be amazed at how quickly the quality of your coffee improves.

Notes readers ask

Q: How long after roasting is coffee still fresh?

Specialty coffee is generally best within 2 to 4 weeks of the roast date. After that, flavors start to dull, and the beans lose the vibrant notes that justify a premium price.

Q: What's the difference between roast date and best-by date?

Roast date tells you exactly when the beans were roasted, which is the real freshness marker. Best-by dates are often vague and set by the roaster—they can be months out and don't guarantee quality.

Q: Can I trust a roaster that doesn't list roast dates?

Short answer: no. If a wholesaler won't share the roast date, they're probably hiding that the coffee has been sitting in a warehouse. Always ask for it before you commit.
