There is a number on every vape hardware quote that gets too much attention and four numbers that get too little. The number that gets too much attention is unit price. The four that get too little are sample quality, lead time, after-sales support, and documentation quality. Together, those four numbers determine your total cost of ownership. The unit price alone determines almost nothing.
Sample quality is the first filter. A supplier that sends a hand-assembled sample with perfect finishes and zero defects is not showing you their production capability. They are showing you their best-case scenario. Ask for a production sample — a unit pulled from a running production line, not a pre-production line. The difference between the two is the difference between what you think you are buying and what you will actually receive.
Lead time is the number that breaks businesses. A supplier quoting 30-day lead time who delivers in 45 days has just cost you 15 days of stock-out. If your monthly sell-through is 10,000 units, that is 5,000 units of missed revenue. At a $3 wholesale margin, that is $15,000 in lost profit. The supplier's price was $0.15 cheaper per unit. You saved $1,500 on the PO and lost $15,000 on the stock-out. Do the math.
After-sales support is the difference between a supplier who answers emails within 24 hours and one who answers within 72 hours. When you have 2,000 units held at customs and the clock is ticking, that 48-hour difference matters. Ask for their after-sales SLA. If they do not have one, they do not have a process.
Documentation quality is the canary in the coal mine. A supplier who sends you a spec sheet with typos, missing tolerance data, and outdated certification numbers is a supplier whose production line has the same problems. The spec sheet is a mirror. If the reflection is messy, the factory is too. This content is intended for adults 21 years of age or older. Nicotine is an addictive chemical.
